How OrthoCraft Cut Documentation Time and Boosted Billing Efficiency with Nymbl AI Notes

Saving an hour a day: the impact of AI-powered documentation

Herschel Sauber, owner and president at OrthoCraft, a large orthotic and prosthetic practice serving patients in Brooklyn and New Windsor, NY, knows what it means to run a high-volume clinic. Personally responsible for 300 - 400 patients each month, he had long accepted that comprehensive documentation was a necessary but time-consuming part of his work.

But that process often came at a cost. It wasn’t unusual for visit notes from his 8-10 board-certified practitioners and residents to be delayed. And without completed visit notes, the entire billing process slowed down. “We’ve always aimed to get notes completed within 24 to 48 hours,” Sauber said. “But staying on top of that, especially in a busy practice, was difficult.”

That changed when OrthoCraft adopted Nymbl’s AI Clinical Notes earlier this year. The solution utilizes AI to listen during patient visits, automatically generating accurate and compliant documentation without the need to dictate or type as you go. For Sauber and Orthocraft, it was a game-changer.

A Smarter Way to Document

“It does take a little adjustment at first,” he admitted, “but once you understand that it’s not a dictation tool, and instead something that listens and learns from each actual visit, it becomes incredibly powerful.” He recounted a moment with a patient who needed an orthopedic item that fell within the boundaries of two different models. As the visit progressed, the system captured the nuances of the conversation and recommended the most appropriate item, demonstrating it had absorbed more than just keywords; it understood context.

Over time, the system has become more intelligent and more attuned to Sauber’s needs. It can recognize brands, sizes, and even his shorthand descriptions. “Now it knows what I mean when I reference a particular style or item. And the more I use it, the better it gets.”

Before Nymbl, Sauber had tried other ambient listening and documentation tools, but none integrated smoothly with his practice management system, which is Nymbl. Most required toggling between systems, copying and pasting notes into patient files, and disrupting the clinical flow.

With Nymbl, the process is different. “I open the chart, click record, and just have the conversation with my patient. When I’m done, the note is already there. I just review and make a few small edits if needed.”

More Time, Less Mental Load

That streamlined experience has resulted in significant time savings. Sauber estimates he now saves at least an hour every day. “When you’re seeing 10 to 12 patients a day, that’s huge. And it’s not just about time. It’s about headspace. Now, I can focus more on my patients and trust that the documentation is being handled.”

The improved note quality has also brought peace of mind. “When someone reviews one of my cases weeks later, everything is there. The visit notes are clear, complete, and easy to follow. Even for me, when I look back at my own notes, I understand the full picture.”

Supporting the Whole Team

OrthoCraft’s entire clinical team is gradually adopting the solution, and Sauber sees that as a positive step. “Some of our younger clinicians are naturally more comfortable with the technology, but overall, it’s making it easier for everyone. It allows me to focus on mentoring them in patient care rather than note-writing. That’s a better use of everyone’s time.”

He has also started experimenting with templates and bullet points to ensure that key areas, such as medical history and patient activity, are consistently addressed. And while those enhancements are still being refined, he sees them as another way Nymbl supports clinical consistency without adding administrative burden.

Reflecting on the decision to implement Nymbl’s AI Notes solution, Sauber doesn’t hesitate. “The benefits outweigh the costs, easily. Whether it’s saving time, improving clarity, or just making oversight simpler, each aspect on its own would make it worth purchasing the solution. Together, they’ve made a real difference in our practice.”

For practices considering the move, Sauber offers this advice: “Trust the process. It’s different, but it’s better. And the more you use it, the more you’ll see how much it can do.”
